2011 Welcome Letter

Welcome Back!  We are now registering new, all returning Orca swimmers and their siblings (ages 5 to 18 as of May 1, 2011).  We had an awesome 2010 season both in and out of the pool.  The kids did great and with the help of our parent volunteers we ran speedy and efficient meets.  Thanks for your continued support and enthusiasm.

This year we will continue to use of our website to post EVERYTHING we can.  We will post the “Whale Tales” team newsletter, important updates, meet results, etc…  So please set our website: www.pinebrookwoodorcas.org as a favorite bookmark in your browser. FEES 

The fees listed below include a team T-shirt and a trophy.  We offer a reduced rate of $30 to Swimmers ages 15 and up as of May 1, 2011. 

IMPORTANT TEAM POLICIES 

• Refund Policy – Absolutely NO refunds after the Friday of the first week of practice.  Prior to, the following rules apply:   If you decide not to swim with us, you will be refunded 50% of your registration fee. A full refund will be given to any swimmer who does not pass the initial time trials held the first week of practice.
• No Shows – We are a competitive summer swim team so we are asking parents not to register their swimmers if they will not be able to attend at least 3 of the 5 regular season meets. 
• Attire - Team T-shirts will be provided for all swimmers.  Team swim suits and swim caps are highly encouraged.  The caps will be available for purchase.  The suits will be sold practice May 13^th and the Practice swim meet on May 21st.  Swimmers may wear any of the suits from previous years during swim meets.  For parents and siblings additional T-shirts are available for $10.00 each.
• Volunteers – The Orca Swim Team is a volunteer organization.  Each family should expect to work a shift (half a swim meet) during every pre- and regular season meet, or 6 shifts throughout the season, plus shifts at post season meets such as last chance, reserve and champ if you have a child swimming in those meets.  Families with multiple children on the swim team may be needed for occasional additional shifts as needed.  If your family will miss a swim meet, you may be asked to work more than one shift at another meet, especially for home meets that require large numbers of volunteers.
• Friends and Family Sponsor – Your donations are tax deductible. You can include your donation to the team with your registration.  This donation allows the team to keep registration fees down as we cover our annual expenses.

 REGISTRATION

We have three options this year. You may:

In all cases fill out the registration forms ENTIRELY (incomplete forms will not be accepted and may result in a delay of the swimmer’s participation in swim practices).  A Medical Release Form MUST be filled out that includes information on EACH individual swimmer.  A swimmer without a signed Medical Release Form will NOT be allowed to practice or participate in a meet.  THIS WILL BE ENFORCED for the swimmers safety and the Orca Team safety.  For Online registration you must complete the medical release acknowledgement before submitting.

Return the completed forms with your check made payable to the PineBrookWood Orcas by April 28, 2011. If electronic registration is used payment must be sent to the address listed below.

HANDBOOKS

Team handbooks will be distributed to all families at the parent meeting on April 28^th or in your family folder.  Please be sure to read it thoroughly.

SPONSORS

We are looking for sponsors!  If you would like to be a sponsor or know of someone who would like to be one, please contact an Orca Board Member or by email sponsors@pinebrookwoodorcas.org .  We have four different levels of business sponsorship available and a “Friends and Family” sponsorship.  Bronze, Silver, Gold and Platinum business sponsorships include sponsor names on the back of our team T-shirt, sponsor names on our website and announcements at our home meets.  Bronze, Silver and Gold Sponsors will be posted on banners hung during our home meets.  Platinum sponsors are posted on individual banners hung at the home meets. “Friends and Family” donations can be included on the registration form. The Orcas are a 501 (c) (3) organization and all donations including “Friends and Family” are tax deductible.

IMPORTANT DATES 

• April 28, 2011 - Mandatory Parents Meeting start time - 7:00pm at University Baptist in the Chapel
• May 2, 2011  – After school practice begins.  We use both the Pine Brook and Brookwood pools.
• May 13, 2011 – Swim suit sales at Friday practice
• May 21, 2011  – Practice meet and team swim suit sales
• June 6, 2011 – Morning practice begins.  We use both the Pine Brook and Brookwood pools.
• Meets – Begin mid-May and continue through the beginning of July.  Please try to plan your vacations after July 2^nd  (or after July 10^th, for those who qualify to swim in the Championship Series).
• July 11, 2011 – End of Season Party
